The Challenge: Complex Migration with No Room for Error

The company’s transition plan came with a unique mix of logistical and human challenges: 

  • Equipment readiness risks: Ensuring all employees received laptops and accessories before day 1. 
  • Healthcare activation delays: Managing inconsistencies and timing gaps with health insurance enrollment. 
  • Medical exam bottlenecks: Coordinating pre-employment medicals without pushing back start dates. 
  • Scalability concerns: Anticipating future growth to prevent equipment shortages. 
  • Cross-team coordination gaps: Maintaining smooth communication between HR, IT, and the client during migration. 

 Given the size and diversity of the team, ranging from Building Information Modeling (BIM) coordinators and data analysts to cost engineers and project administrators, any delay in onboarding could have caused millions in losses and project delays across regions. 

The Turning Point: Strategic Solutions that Set the Stage for Success

Recognizing the urgency and complexity of the migration, Emapta designed a comprehensive transition plan anchored on foresight, preparation, and on-site support. 

1. Proactive Equipment Planning 

Emapta’s IT and admin teams took a proactive approach by requesting the final headcount and start dates ahead of time, ensuring that every employee’s laptop, peripherals, and credentials were configured before their start date.  

In addition, a buffer stock of 10 pre-configured “plug-and-play” laptops was maintained on-site to handle replacements or urgent hires instantly. 

Finally, to secure seamless tech support, an IT representative was deployed in the client’s office to provide real-time troubleshooting and configuration support, reducing downtime and frustration during the critical first weeks.

2. Flexible Healthcare Activation 

To address healthcare inconsistencies from the client’s previous outsourcing provider, Emapta introduced HMO options that provided employees the flexibility to replicate prior benefits or extend coverage to dependents.  

Emapta also conducted HMO orientation webinars and in-person sessions to help employees make informed decisions, while on-site onboarding support ensured coverage was activated on time. 

3. On-Site Medical Efficiency 

Instead of sending 140+ employees to external clinics, Emapta partnered with a healthcare provider to set up a mobile clinic directly on office premises, allowing 93 employees to complete their medical exams on day 1.  

With all staff members completing the medical exams within the same week, Emapta removed a major bottleneck that typically delays new hires.
